Call for Tenders - MultiMEDIA Pavilion Coffee Lounge

The MultiMEDIA Pavilion will be the technology hub of the 2014 Congrès mondial acadien. It will host a wide range of new interactive technology to the delight of visitors. The MultiMEDIA Pavilion will be animated by a creative team that will reinterpret the CMA 2014 through images, sounds and videos shared via the social networks by the participants to the festivities. It will also be a pre-eminent showcase which will allow the Acadians of the world to actively participate in the celebrations on-site or even from afar. These installations will be within the Edmundston Multisports Pavilion from August 8 to 24, 2014.

INTRODUCTION

The Congrès mondial acadien is a great celebration of the Acadian culture held every five years since 1994. Its main objective is to reunite the Acadian diaspora spread out to the four corners of the world for a fortnight of festivities through family reunions, conferences, concerts, and many other activities. It will be held in Acadia of the Lands and Forests from August 8 to 24, 2014.

The organizing committee of the CMA 2014 is looking for a company that can provide the service for a coffee lounge within the installations of its MultiMEDIA Pavilion located in Edmundston, New Brunswick.

Please submit your proposal by email, by fax, by mail or hand delivery, no later than Friday, May 30, 2014, at 12:00 (Atlantic Time).

Description:

The MultiMEDIA Pavilion will be the technology hub of the 2014 Congrès mondial acadien. It will host a wide range of new interactive technology to the delight of visitors. The MultiMEDIA Pavilion will be animated by a creative team that will reinterpret the CMA 2014 through images, sounds and videos shared via the social networks by the participants to the festivities. It will also be a pre-eminent showcase which will allow the Acadians of the world to actively participate in the celebrations on-site or even from afar. These installations will be within the Edmundston Multisports Pavilion from August 8 to 24, 2014.

An estimated 17,000 to 20,000 people will visit the facility during the CMA.  We expect higher traffic during the weekends.

Mandate:

The call for tenders is to obtain proposals for the services of a coffee lounge for the MultiMEDIA Pavilion to provide visitors with something to eat.

What we are looking for:

  1. Open from noon to 9:00 p.m. from August 8 to 24 inclusively (closing late afternoon on August 24);
  2. Two nights from 9:00 p.m. to midnight, with the possibility of serving alcoholic beverages (wine and beer) if the license allows for it;
  3. Beverages: coffee, juice and water;
  4. Light meal: muffins and fancy pastries, salads, soups, sandwiches. We want to avoid cooking on-site to reduce such disadvantages as odors, smoke, etc.  No table service; counter service only.
  5. Cleaning and maintenance for this zone shall be the responsibility of the staff managing the coffee lounge area, including the area where the tables and chairs are. (Seating capacity:  approx. 75 people);
  6. No fees will be charged to the company providing the services for the Coffee Lounge for their installations on the site. In return, we do not want to assume any responsibility for maintenance, etc. The coffee lounge must be autonomous in itself.

Content of the proposal:

  1. Description of the company;
  2. Proof that the company holds the necessary licenses required to provide these services;
  3. Proof of liability insurance of at least two million dollars CAN;
  4. List of equipment provided and necessary for this facility;
  5. A menu and prices of offerings;
  6. Cleaning / maintenance services;
  7. Description of any similar experience by the company.

Language requirements:

    The bidder and people responsible must have the ability to communicate both in French and English since we will welcome visitors who speak either or both languages;

 Deadline:

    The proposals or bids are expected no later than noon on Friday, May 30, 2014 (Atlantic Time) at 165 Hébert Blvd., Edmundston, New Brunswick E3V 2S8, to the attention of Eric Haché, Logistics Director.  Any proposal received after the date and time specified will be rejected. The Congrès mondial acadien 2014 also reserves the right to extend the deadline and to reopen the call for tenders received if they are in insufficient numbers or quality.

    The Congrès mondial acadien reserves a maximum period of two (2) weeks to evaluate the offers received and to contact the retained tenderer.

    Only the winning bidder will be contacted.
